How we saved an estate agency 15 hours a week with AI lease extraction
In this video, we walk through a real client use case where we helped an estate agency dramatically reduce the time spent extracting key details from commercial leases.
Before the automation, a staff member would download a lease (often 90 pages, sometimes far more), manually hunt for important fields like landlord and tenant names, lease dates, break clauses, subletting rules and more, then type everything into an Excel template before generating a Word summary to upload into their CRM. With around 10 leases per week, this added up to roughly 15 hours of admin time.
We show how we rebuilt the workflow using Microsoft tools already in their stack. Power Automate handles the end-to-end process, Azure AI Content Understanding extracts structured data reliably even when lease formats vary, and SharePoint, Outlook, Excel and Word connect everything together. The result is a simple “drop the lease into a folder” process, with a quick human review step in Excel, followed by an automatically generated Word summary ready for the CRM.
The outcome: the process drops from around 15 hours a week to roughly 1.5 hours, with review and approval included.
