If you’ve heard the term “AI agent” and immediately imagined some kind of Silicon Valley level tech wizardry, you’re not alone.

But here’s the good news. With the tools now available in ChatGPT Plus, building a simple AI agent to support your business is much easier than you might think. No code. No complicated setup. Just a clear goal and a few instructions.

At Blue Llama, we’ve been using this method to save time on the kind of tasks everyone puts off, like writing case studies. But the same approach can be used for anything from lead generation to HR onboarding.

So what exactly is an AI agent?

Think of it as a digital assistant trained to complete one specific task really well.

While a typical chatbot just answers questions, an AI agent is designed to follow step by step instructions, take context into account and actually do something like writing, planning, summarising or researching based on your input.

It’s like adding a new team member who never needs chasing.

Real use case. Creating case studies without the pain

Here’s what we did.

We built a custom AI agent to help us write project case studies. It was something that used to take up way too much time. Now, we feed it the project brief, a Loom transcript and a client website link and it gives us a structured first draft, ready to polish.

Go to the Custom GPT Builder
Visit chat.openai.com/gpts/editor. This is where you’ll start building.

Give it a clear purpose
Define exactly what the agent should do. For example:

  • You are a professional blog post writer for financial services
  • You summarise meeting transcripts into bullet points
  • You write job descriptions based on input from hiring managers

Write clear instructions
In the setup form, explain how the AI should behave:

  • What tone it should use
  • What structure to follow (e.g. intro, body, summary)
  • Word count targets
  • Whether to ask follow up questions

Add examples (optional but helpful)
Include links to sample content like blog posts, case studies or proposals so it can learn your preferred format and voice.

Enable extra features if needed
You can give your AI agent additional capabilities such as:

  • Web browsing
  • Image generation
  • Canvas editing for real time layout changes

Test and refine
Launch it, try it out and tweak the instructions until it feels right. You can even add buttons like “Create a case study” to make it faster to use.
